1. Who we are
Soulful Sexology Sanctuary LLC ("Soulful Sexology Sanctuary," "we," "our," or "us") operates Sanctuary Pathways (the "Service"). We are the data controller for personal data we collect about you through the Service.
2. What we collect
- Account data — your email address, sacred name (a chosen display name), and authentication credentials.
- Profile data — settings such as reminder preferences, quiet hours, and onboarding acknowledgements.
- Your reflections — journal entries, reflection responses, mood check-ins, grounding worksheet responses, and return-later items you choose to save.
- Usage data — pages opened, chapters started and completed, focus sessions, and other interaction events used to improve the Service.
- Device & technical data — IP address, browser, device identifiers, and basic diagnostics required to keep the Service secure.
- Support messages — anything you send us through support channels.
Payment card information is collected directly by our payment processor, Stripe (see Section 5), and is never stored on our servers.
3. Why we use it (purposes & legal bases)
- Provide the Service (contract performance) — account creation, sign-in, saving your reflections, delivering chapters and grounding practices.
- Keep it safe (legitimate interests) — security, abuse and fraud prevention, debugging.
- Improve the Service (legitimate interests) — aggregated analytics about how features are used.
- Support (contract performance) — responding to your messages.
- Legal compliance (legal obligation) — meeting tax, accounting, and other legal requirements.
- Optional reminders (consent) — sending the gentle reminders you opt into; you can withdraw consent any time in settings.
4. Your private reflections
Reflections, journal entries, mood data, and grounding worksheet responses are private to your account. We do not sell this content, we do not use it to train third-party AI models, and we do not share it with the practitioner or any third party except as strictly necessary to operate the Service (e.g. encrypted database hosting).
5. Who we share data with
- Service providers / subprocessors — hosting, database, email delivery, analytics, and error monitoring providers that process data on our behalf under written agreements.
- Payment processor (Stripe) — Stripe processes subscription billing, payments, invoicing, and refund mechanics on our behalf. Payment card details are collected and stored by Stripe and never reach our servers.
- Professional advisers — legal, accounting, and compliance advisers, where needed.
- Authorities — where required by law, court order, or to protect rights, safety, and security.
We do not sell your personal data.
6. How long we keep it
We keep account and reflection data for as long as your account is active. If you close your account, we delete or anonymise your personal data within a reasonable period, except where we must keep it longer to comply with legal obligations (for example, billing and tax records).
7. Your rights
Depending on where you live, you may have rights to access, correct, delete, restrict, or port your personal data, to object to certain processing, and to withdraw consent. To exercise these rights, contact us through the support channels in the Service. We will respond within the time required by applicable law (typically one month). You also have the right to lodge a complaint with your local data protection authority.
8. Security
We use appropriate technical and organisational measures — including encryption in transit, access controls, and reputable cloud hosting — to protect your data. No system is perfectly secure; if you believe your account has been compromised, contact us immediately.
9. International transfers
We and our service providers may process your data in countries outside your own, including the United States. Where required, we rely on appropriate safeguards (such as Standard Contractual Clauses) for these transfers.
10. Cookies
We use cookies and similar technologies that are essential to keeping you signed in and operating the Service. We may also use a limited number of analytics cookies to understand aggregate usage. You can manage cookies in your browser settings.

We may update this Privacy Notice from time to time. Material changes will be announced in the Service or by email.
